Privacy Policy
Effective 17 October 2026
- FIELDNOTE keeps only what it needs to show your classes, course notices and documents.
- No ads, no analytics or tracking, no location tracking, and we never sell your data.
- Class check-ins are anonymous: other users only ever see a total count.
- You can ask us to delete your account at any time.
Who we are
FIELDNOTE is a campus app that brings class timetables, official course notices, deadlines and course documents into one place for students and course representatives. FIELDNOTE is responsible for the personal data described here. Contact us at gentlegiant125x@gmail.com.
What we collect
| Data | Why |
|---|---|
| Email address and password (stored only as a secure hash) | To create your account and sign you in. |
| Your name and, if you add it, your student ID | To show your profile, and to show your name on notices and documents you publish as a course representative. |
| Institution, faculty, department, level and the courses you take | To show you the right timetable, notices and documents. |
| Your course role (for example course representative) | To decide which course tools you can use. Roles are set by the server, never by your device. |
| Notification and reminder settings | To remember which courses you follow and how early you want reminders. |
| Notices, timetable changes and documents you publish | To share them with the students of that course. |
| Class check-ins | To show how many students are waiting for a class. A check-in is stored as a one-way coded token instead of your name or account ID, and is used only to count students. The visible count resets when the class ends. |
| A record of changes to official information (who changed what, and when) | To keep course information accountable and to investigate misuse. |
We do not collect your location, contacts, photos, or device identifiers for advertising. The campus guide lets you choose a starting place by hand; it never reads your position.
Who processes your data
We use a small number of service providers to run FIELDNOTE. They process data only on our behalf:
- Supabase hosts our database, accounts and file storage. Data is stored in Frankfurt, Germany (EU).
- Cloudflare delivers the app's web pages and may store course documents.
- OpenStreetMap provides map images for the campus guide. Your device requests these images directly, so OpenStreetMap's servers see your IP address. No account information is sent.
We do not sell, rent or share your personal data with anyone else, and we do not use it for advertising.
Who can see what
- Students in a course see that course's notices, timetable and documents, including the name of the course representative who published them.
- Course representatives and institution administrators can see the information needed to manage their courses and institution.
- Nobody can see who checked in to a class, only the total.
On your device
The app keeps some information on your device so it opens quickly, and stores documents you choose to save for offline reading. This is removed when you sign out. Your device and browser settings, not FIELDNOTE, control whether notifications are allowed.
Security
All data is encrypted in transit (HTTPS). Access rules are enforced on our servers, so the app can only read what your account is allowed to see. No method is completely secure, but we work to protect your information and will notify affected users and authorities of a breach where the law requires it.
How long we keep data
- Account and profile data: while your account exists.
- Check-in tokens: stored after the class, but never shown with your name and only used for counts.
- Notices, timetable changes and documents published to a course: kept as part of that course's record, including the publisher's name, unless they are removed.
Deleting your account
To delete your FIELDNOTE account and its personal data, email gentlegiant125x@gmail.com from the address you signed up with, with the subject “Delete my FIELDNOTE account”. We will confirm the request and delete your account, profile, course enrolments and settings within 30 days. Notices and documents you published to a course may be kept as part of that course's record.
Your rights
You can ask to access, correct, export or delete your personal data, or object to how we use it, by emailing us. You can correct your name and student ID in the app at any time. If you are unhappy with our response, you can complain to your data protection authority; in Nigeria that is the Nigeria Data Protection Commission.
Children
FIELDNOTE is for university students and staff. It is not intended for children under 13, and we do not knowingly collect their data.
Changes to this policy
If we change this policy we will update the date above, and tell you in the app if the change is significant.
